Privacy notice

Scan Station Dell is a personal desktop document organization tool operated by Chip Hampson. This notice describes its handling of scanned documents and connected account data.
Information the tool processes
The tool processes scanned PDFs, their recognized text, file fingerprints used to detect duplicates, and suggested details such as company, document type, date and amounts. Documents may contain personal or sensitive information chosen by the person scanning them.
Google account information is used to confirm the intended account. Google authorization allows the tool to create and manage its own Drive files and folders; it does not request general access to all Drive files.
Where information goes
Original documents, recognized text, suggested details and an index are kept on the owner’s Windows computer. With the owner’s authorization, recognized document text is sent to OpenAI for extraction. The tool requests that API responses not be stored; OpenAI’s service policies may still provide for service and abuse-monitoring retention.
PDF originals, separately organized copies and an index containing document details are stored in the authorized Google Drive account. The tool does not publish or publicly share these documents.

Use and protection
Information is used to preserve, organize, search and review the owner’s documents. The operator does not sell it, use it for advertising or transfer it for unrelated purposes. Credentials saved by the desktop tool are encrypted using the Windows user account’s protection. Access to the computer and connected accounts remains under the owner’s control.
Scan Station Dell’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Retention, deletion and disconnection
Local and Drive copies remain until the owner deletes them; the tool does not automatically purge documents after a fixed period. Deleting one copy does not delete other copies or the index. The owner can stop processing through the desktop tool and remove local and Drive files separately.
Google access can be revoked in Google Account connections. Revocation stops future authorized access but does not delete files already created. An OpenAI API key can be revoked through the owner’s OpenAI account.
This information website
This site has no document upload form, account sign-in, advertising or custom analytics. Its hosting provider may process ordinary connection information to deliver and secure the website.
